Hi LewisIt looks like this version of Outlook Mac only shows the Archive function when one is connected to an Exchange server, so I'm not sure a third party email provider that is connected vis POP is supported. I wonder if this is because I've set up for using POP email? Also, in this case, even if I 'archived' using Export, saving as an.olm file, if I wanted to decrease the load of loading my email box, but want the old email available for lookups, say I export, but then reimport to file on MyComputer, isn't that going to have the same load as opening one big email Inbox as it's POP email? The program still has to access the files. I'm guessing, just guessing, the Archive function really only works for IMAP connections?

As far as I know, the archive button is now only available to accounts configured via Exchange or IMAP, rather than of POP. As per POP accounts which do not allow Outlook to sync with the mail server, messages are downloaded to the On My Computer Inbox, see the relevant section in.

We're using Outlook 2016. Now, I'm beginning to think archiving only helps speed up loading of IMAP emails as there's less on the server and more locally once archived. I'm not sure this applies to POP emails. They are already downloaded to the local computer.
Perhaps moving them to a separate folder, speeds up accessing the Inbox, but by how much, if any? It looks like 'archiving' only works with local Exchange servers or Office 365 mail, for Mac Outlook 2016? The goal was to reduce the count in the Inbox to make Outlook 2016 more responsive, yet have the older emails on hand to lookup as needed.
So one would not be re-importing them from a.olm file, but they'd be on-hand in a separate folder to do searches on. Again, not sure that this workflow will result in any performance improvements? The article discusses Outlook 2011 for Mac, but it should be similar in Outlook 2016 for Mac: According to the link above, we can see that a large volume of messages in the Inbox can slow synchronization with the mailbox server. But as your assumption in the previous reply, it only applies to IMAP or Microsoft Exchange accounts.

Hi there, As Lewis explained through the two official articles, Archiving through the 'Archive button' and 'Archiving to a local drive' are two different things. Archive button is meant to move the mail(s) to a folder in Outlook itself. It is in OLK format and thus not readable. It is primarily for IMAP accounts and primarily used for sorting the important emails.
Moreover, it saves space from your mailbox. As you are on POP, saving disk space should not bother you much. Exporting to an archived folder on the system gives the mails access to the outside.You can convert the file to the desired format and reading in the desired mail client.
For easier Archiving try out Mail Backup X. I have been using it for past few months now. It offers auto archving of emails from Outlook Mac 2016, thus reducing your efforts at manuaaly archiving the mails.
